In addition to professional caregiver training and certification programmes, we provide caregiver placement and agency coordination services, connecting qualified care professionals with families, individuals, and healthcare facilities requiring home care, elderly support, companionship, dementia-informed care, and specialised non-medical assistance.

This Caregiver Placement & Agency Services Policy outlines the standards, responsibilities, and terms governing placement services for both Clients (families or facilities seeking care) and Caregivers (professionals seeking placement).

1. Scope of Services

Dignity in Care Agency provides professional caregiver placement and coordination services, including:

  • Recruiting, screening, and assessing qualified caregivers

  • Matching caregivers with clients based on care requirements, schedules, and compatibility

  • Coordinating introductions and onboarding support

  • Monitoring placement quality and addressing service concerns where applicable

  • Facilitating caregiver replacement support where necessary

Service Relationship Structure

Depending on the service agreement selected by the Client, caregivers may be engaged as:

  • Independent contractors directly contracted by the Client; or

  • Agency-managed personnel coordinated through Dignity in Care Agency

Dignity in Care Agency exercises reasonable care in screening and placement coordination but does not assume direct liability for day-to-day personal conduct or individual outcomes within private residences except where required by applicable Jamaican law.

2. Caregiver Vetting and Quality Standards

To maintain high standards of professionalism and safety, all caregivers must successfully complete screening and verification processes prior to placement.

These may include:

Educational Credential Verification
Confirmation of caregiving certifications completed through Dignity in Care Academy or equivalent recognised institutions.

Background and Security Screening
Valid Jamaican Constabulary Force (JCF) Police Record or equivalent national police clearance where applicable.

Professional Reference Checks
A minimum of two verified professional or character references.

Health and Fitness Verification
Confirmation of physical fitness to perform caregiving duties and relevant health documentation where required.

Professional Orientation Completion
Successful completion of Dignity in Care Agency orientation and professional conduct review.

3. Data Protection and Privacy Compliance

Dignity in Care Agency complies with the Jamaica Data Protection Act (Data Protection Act, 2020) and applicable privacy standards.

We act as a Data Controller for personal information collected during caregiver recruitment and client placement processes.

For Caregivers

We may collect:

  • Identification records

  • Taxpayer Registration Number (TRN) details

  • Police records

  • Employment history

  • Qualification records

  • Relevant health documentation where required

This information is used solely to determine placement eligibility and will only be shared with prospective clients where necessary and with appropriate consent.

For Clients

We may collect:

  • Home addresses

  • Emergency contact information

  • Care recipient medical and behavioural information

  • Mobility and scheduling requirements

  • Household safety considerations

Information is collected only as necessary to facilitate safe and appropriate care placement.

Data Storage and Retention

All placement-related information is stored using reasonable administrative, technical, and organisational safeguards and retained only as long as necessary to fulfil contractual or legal obligations.

Your Rights

Clients and caregivers may request:

  • Access to personal data held

  • Correction of inaccurate information

  • Deletion of eligible information where legally permitted

4. Client Responsibilities and Workplace Safety

Clients agree to maintain a safe, respectful, and hygienic care environment.

Clients are responsible for:

Providing Accurate Care Information
Care needs, behavioural concerns, mobility limitations, medical conditions, and scheduling expectations must be disclosed accurately.

Failure to provide accurate information may result in reassessment, suspension, review, or termination of placement services where necessary.

Maintaining Safe Working Conditions
Caregivers may refuse unsafe assignments involving abuse, illegal activity, severe environmental hazards, or unsafe working conditions.

Professional Financial Boundaries
Clients may not privately alter agreed payment structures, offer unauthorised loans, or exchange significant gifts with caregivers outside agency approval.

5. Caregiver Conduct and Professional Standards

All placed caregivers must comply with the Dignity in Care Agency Code of Conduct.

Caregivers are required to maintain:

Confidentiality
Strict privacy regarding household, medical, and personal family information.

Professional Appearance and Reliability
Clean presentation, punctual attendance, and adherence to assigned schedules.

Scope-of-Practice Compliance
Caregivers may only perform duties for which they are appropriately trained and authorised under the agreed care plan.

Ethical Professional Boundaries
Caregivers must not form private financial arrangements or inappropriate personal dependencies with clients.

6. Placement Fees, Cancellations, and Replacements

Detailed service fees, payment schedules, deposits, and billing arrangements are outlined in each Client Service Agreement.

Replacement Support

Where a caregiver placement becomes unsuitable due to scheduling conflict, compatibility concerns, or performance issues, Dignity in Care Agency will make reasonable efforts to provide a suitable replacement within the timeframe outlined in the applicable agreement.

Immediate replacement cannot always be guaranteed.

Termination of Placement Services

Either party may terminate placement services with the notice period outlined in the Client Service Agreement, typically 7–14 business days, except where immediate termination is necessary due to safety concerns, gross misconduct, or serious contractual breach.

7. Direct Employment Restrictions

Clients may not directly employ, privately contract, or otherwise engage caregivers introduced through Dignity in Care Agency outside approved agency arrangements for twelve (12) months following placement termination unless written agency authorisation is granted.

Unauthorised direct engagement may result in applicable placement recovery fees.

8. Emergency Situations

Assigned caregivers are authorised to contact emergency medical services and notify designated emergency contacts immediately where urgent intervention is required.

9. Policy Updates

Dignity in Care Agency reserves the right to revise this policy to reflect legal, operational, or service delivery changes.

Updated versions will be published on our website with a revised effective date.
